Apostille for University Admission Abroad: How It Works, How Long It Takes, and Why You Can't Wait

University admission deadlines are unforgiving. And one of the most common surprises for applicants: the university requires an apostille on your school-leaving certificate — a process that takes anywhere from one week to a month. And it can only be done in Ukraine.

What Is an Apostille and Why Do You Need It

An apostille is a special certification stamp that confirms the authenticity of a signature and seal on a document. It's required so that a document issued in Ukraine is officially recognised in another country.

For educational documents — school-leaving certificates, basic secondary education certificates and their supplements — the apostille is issued by the Ministry of Education and Science of Ukraine.

Without an apostille, a foreign university will not accept your certificate as an official document.

One important thing to know upfront: electronic documents cannot be apostilled in Ukraine. You need the original paper document with live signatures and seals.

What Documents Are Usually Required for Admission

The most commonly required documents for university admission abroad include:

• School-leaving certificate (together with its supplement). The certificate and supplement are submitted as a pair — the supplement is not optional and the certificate is considered incomplete without it.
• Grade transcript — sometimes required separately.
• University transcript or academic reference — if you already have higher education.
• NMT (national standardised test) results — for some universities.

Translation and apostille are typically required for the certificate and its supplement. Requirements for other documents depend on the specific university.

Practical tip: before you start the process, check the exact requirements of your university. Requirements vary even within the same country.

Step-by-Step: From Original Document to Complete Package

Step 1: Apostille from the Ministry of Education and Science of Ukraine

The first and most time-consuming step. The original document is submitted to the Ministry of Education and Science of Ukraine for the apostille to be affixed.

Processing times depend on the service tier you choose:

• Up to 3 business days — urgent
• Up to 5 business days — standard
• Up to 12 business days — economy
• Up to 36 business days — slowest option

Actual turnaround also depends on the ministry's current workload. During peak admission season, queues grow. This is why you should start early — even if you're choosing the urgent option.

Step 2: Translation

After receiving the apostille — translation. Depending on the country's requirements, this is either a notarised translation or a sworn translation.

Notarised translation: a translator translates the document; a notary certifies the translator's signature.

Sworn translation: performed by a sworn translator — a specialist with officially confirmed status. No separate notary is required. This is the type required by universities in the Czech Republic, Poland and Austria.

Step 3: Second Apostille (if required)

Some countries require an apostille not only on the original document but also on the notarised translation. This depends on the specific requirements of the university or destination country.

How long does the full process take? At minimum — 1 to 1.5 weeks with urgent apostille processing and fast translation. Realistically, accounting for all steps and courier delivery — 2 to 4 weeks. This is why you should start now, not when you receive the university's confirmation letter.

Common Mistakes That Derail the Process

Mismatched data between documents

This happens more often than you'd expect. A real case: the diploma supplement listed a different spelling of the applicant's surname than the diploma itself. In another case, the supplement contained an incorrect diploma number — one digit was missing. In both situations the outcome was the same — documents were rejected and new corrected originals had to be obtained from the institution.

Check before you start: the full name spelling and document numbers match exactly across all papers.

Electronic document instead of a paper original

Electronic certificates cannot be apostilled in Ukraine. If you only have an electronic version, you need to contact your school or educational institution and request a paper original.

Missing consent for personal data processing

Starting too late

The most common mistake. Someone receives a university confirmation in July and thinks there's still time. But even the urgent procedure takes several weeks when all steps and courier delivery are factored in. If your submission deadline is August — you need to start now.
